A complete guide to Instagram for business

When done correctly, Instagram will help you grow your business. The numbers speak for themselves: 200+ million Instagrammers visit at least one business profile daily. That's a lot of potential reach and visibility that can be boosted with Instagram ads. It may be daunting to try and stand out amidst the crowd, but this guide will help those who aren't currently using Instagram for business. For those who are already on Instagram, this guide will quickly help you differentiate your content.

Instagram's value used to come from its younger user base. However, with the number of new users growing every day, it's now a tool effective in reaching all kinds of demographics.

Instagram is an incredibly visually-based medium, so it's crucial to dial in on the best design practices. Sizing dimensions, design principles, and strong calls to action (CTAs) are just a few of the moving parts to consider when building your content. Most Instagram users know how to filter and otherwise tweak their posts to be aesthetically appealing, but there's more to Instagram's visual curation than meets the eye.

Here, we'll share the fundamentals of creating engaging newsfeed images, Instagram stories, and ads to help you grow your Instagram page, plus some templates to get you started. Ready to dive in?

How to use Instagram stories

When Instagram stories were introduced in 2016, they added a layer of depth to a brand's Instagram content strategy. Stories are only viewable for 24 hours, allowing the poster to experiment more freely with different approaches as well as post more timely and recurring content without posting it to their permanent feed. Most importantly, as the name implies, you can post a number of stories back to back, giving you the ability to tell a narrative that's hard to replicate in standalone posts.

Instagram stories take up the whole screen, providing a unique and brief moment to capture the audience's entire attention. This results in a stronger impression on viewers than a typical post.

You can approach Story content strategy a number of ways: get additional engagement beyond your normal posts, or share more short-term specific content like a sale. Below, we'll give more insights about how to maximize Instagram stories, regardless of your strategic goal.

Instagram story dimensions

Instagram's story dimensions are 1080 by 1920 pixels, or a 9:16 aspect ratio: it's especially important that you stick to this guideline, as Instagram can crop or zoom into your video which will cause a loss of quality and messaging.

Instagram story templates

Designing good Instagram stories can be more difficult than a feed post. Users click through stories, rather than scroll through their feed. Creating a story that captivates and forces engagement within a moment is challenging. Just like creating a post, creating a good story begins with the correct Instagram dimensions.

Figma's free pre-sized Instagram story templates helps you build strong content that captivates the audience, and grows your following. Getting started is easy: just select one of our many designs, and start adding your images and accompanying text. Our Instagram Story templates are made to suit different brands, and are easily customizable so that you can truly get your identity across in every story.

When you're adding your personal touch to Instagram stories, you should keep the core design elements in mind. For starters, maximize the screen space. This doesn't necessarily mean that you need to fill the entire screen, but you should be conscientious about how you place your images, logos and buttons within the space.

You can use this Instagram UI Mockup tool directly on Figma to help build your Instagram story. You should aim to share the core message visually; text is great, but too much of it can be hard to understand quickly. Generally, text-heavy stories perform poorly on Instagram's algorithm. Finally, if you're looking to optimize for conversions, include a CTA. This can simply be a 'Swipe Up' link-- a functionality unique to business accounts, or those with more than 10,000 followers, which allows the poster to share a link within the story by prompting a viewer to swipe. Buttons are another important tool for businesses to utilize, because they let you add polls, products, and mentions, which increases audience engagement.

With that being said, you'll want to make sure to test out what style and content works best for your audience. Your stories will be more powerful if you're able to spend a few weeks measuring engagement metrics, like response rate and total views, from different story designs. That way, you can determine the content and formats that best resonate with viewers.

How to make an Instagram story

Now that you've made your Instagram stories, how do you publish them?

  1. Swipe left, or click 'Your Story' in the top left corner after opening up the app.
  2. Tap the white circle to take a live photo, boomerang, which is a mini looping video, or a longer video. You can also tap the bottom left corner to upload a pre-built story.
  3. Add buttons and stickers to your Instagram story by clicking the 'Sticker' Icon in the top.
  4. Add a link to your Instagram Story by clicking the 'Insert Link' Icon in the top menu.

Once you've posted your Story, you can get updates on it's view count in the bottom left corner. There's no edit button once you've posted a Story, so make sure to review your content before publishing it.

Instagram image sizes

Now that you have a good understanding of Instagram stories, the next frontier to explore is posts. Let's dive into how your Story and post content strategy should work together, the different sizes of posts that you can make, and how to design great content that engages your audience.

Instagram profile photo dimensions

The dimensions for an Instagram profile photo are 110 by 110 pixels. Your profile photo should be clear and easy to identify. A simple logo, for example, is a great choice, but you can also have a clear image of your core product offering in the profile photo as well. You can see how your profile photo will look on the platform with this Instagram Avatar Preview.

Regardless of the profile photo that you choose, try to keep it the same across all business accounts; great brands are sure to do this. The consistency will allow you to be more recognizable when targeting the same customers, and ultimately help build your online brand identity.

Instagram post dimensions

Unlike many other social media platforms, Instagram photo sizes don't have to be consistent across all posts. Instagram dimensions can be square, landscape, and portrait images now, and you should consider the pros and cons for each. Although all images show up as square on your profile, clicking on photos will reveal them at their full aspect ratio.

For Instagram square images, your picture needs to be a 1:1 aspect ratio, or 1080 by 1080 pixels. Using square images is a neat throwback to Instagram's early days, but the rules of composition are different for square posts. Square designs are all about symmetry, so they work best when you focus in and center on the main piece of content, rather than following the rule-of-third principle. You can also crop your image into the square format to show the most important part of the image, which will make the design more visually appealing, resulting in improved engagement with your audience.

Portrait Images are best at a 4:5 aspect ratio, or 1080 x 1350 pixels. The vertical aspect ratio maximizimizes your Instagram real estate and takes up more of the screen, allowing you to capture more of the audience's attention and for longer. Being bold with your portrait designs will make your post go even further because they physically require more time to scroll by; a sharp image, or bright colors are both good ways to stand out even more and use the screen size effectively.

The aspect ratio for Instagram landscape photos is 1.91:1, or 1080 x 608 pixels. Note that these photos have the opposite use case than portrait-style images: the photo takes up less screen space vertically, but you can show more depth within the photo. You should opt for landscape dimensions on Instagram posts if you need more horizontal space for a more complex design, or wider scenery, for example, to capture your image more effectively.

You can create and plan your Instagram content for free using Figma. Get access to our pre-sized frames, and the tools you need to make Instagram posts that convert. Sign up for free, and see what our Creators are making.

Instagram thumbnail dimensions

While many think of Instagram as a photo-sharing platform, videos have become a crucial part of the app experience. A well-created video provides a unique opportunity to deliver long form content. This means that you have more time to deliver your message and a new medium to create engaging content. There's a lot of value in videos for a business on Instagram, so it's crucial to incorporate it in your content strategy. How can you optimize your feed to get strong engagement with video? Start with a great thumbnail that engages your audience.

Instagram recommends 161 x 161 px for your video thumbnail. You should also aim to clip the most interesting and unique portion of the video; the final product on a cooking video, or the core feature of a new software product. This will make your video more enticing to click on. You'll also want to keep the thumbnail as clean as possible. Too much text looks tacky, meaning it won't perform as well on Instagram's algorithm. Keep in mind that once you make your post, you cannot edit the thumbnail photo, so be thorough with your revisions.

Instagram carousels

Instagram carousels are an opportunity to creatively tell a better story in your posts. Instagram gives you the ability to share up to 10 photos or videos for your audience to swipe through, presenting the opportunity to share more content without overwhelming your audience. The best reason to use a carousel is if you want to share a new feature, or product. You'll have a more thorough chance to share your update, and your post won't be cluttered, which will keep your engagement high. If you're looking for a template to get started, try this Instagram Carousel Template from our Figma community.

How to create Instagram Ads

Once you've built your profile, you can use the paid ads network to get more impressions and visibility beyond your organic reach. With ads, however, you need to make sure your design is captivating, or your ROI will be lower. The first step to getting started is understanding the Instagram dimensions, and then focusing on marketing and design principles that makes your ads stand out. Let's walk through it.

Instagram dimensions are a bit different for ads:

  • 1080 x 1920 pixels for stories
  • 1080 x 1080 pixels for square images
  • 1200 x 628 pixels for landscape images
  • 600 x 750 pixels for portrait images

Sticking to these ad sizes is particularly important for ads because poor formatting will perform worse in Instagram's algorithm. With that being said, beyond the dimensions, there are also some design principles that you should follow to create winning content.

Instagram for Business

While your ads are an extension to the branding on your page, you'll want to follow a few principles specific to Instagram ads. Firstly, think about the core conversion that you're trying to achieve: is it more followers, or a new product that the customer can purchase, or simply referring a customer to a new blog post?

With your goal in mind, you can make more informed decisions about your ad designs. For example, a 'Shop Now' CTA won't perform as strongly if you want to get more views on a blog post because your audience may get confused. Your ads will eventually perform better if you test and analyze the success of your paid content. That way, you can make informed decisions about what resonates best with your audience.

If you want to build a great following, try to plan your posts ahead of time so that you can introduce consistency and variety to your content. With this free Instagram Content Calendar, you can plan and develop content ahead of time, and visualize what it will look like.

Your Instagram bio is your chance to introduce your brand on Instagram. It can also help you get discovered in Instagram Search. It's a small space, but when used effectively it can be very powerful.

In this post we'll look at some great Instagram bio examples and give you all the tips you need to create one of your own.

Eager to get started right away? Watch this short video for our top 5 Instagram bio writing tricks.

Bonus: Unlock 25 inspiring social media bio templates to create your own in seconds and stand out from the crowd.

What is an Instagram bio?

An Instagram bio is the 150-character description under your username on your Instagram profile page. Your photos show users what you do. Your bio is your chance to tell them who you are.

Your Instagram bio needs to convey your brand personality and show your audience they have come to the right place. After reading your bio, people should understand what you do and why they should follow you.

That's a lot to ask of such a small amount of text. You'll need to employ some creative Instagram bio ideas to make your bio stand out.

What makes a good Instagram bio?

The best bio for Instagram is one that helps compel new profile visitors to stick around and click the follow button. When thinking about what to put in your Instagram bio, ask yourself the following questions:

  • What is your brand promise?
  • How about your brand personality: Funny? Serious? Informative? Playful?
  • What are your special skills?
  • Are you a local business? National? Multinational?
  • What makes your product or service unique?
  • What is the first thing you want people to do after they visit your profile?

On that last point: All good marketing material includes a clear and compelling call to action. Your Instagram bio is no exception. Give visitors clear direction.

You might want to use your Instagram link in bio to send people to a page where they can buy your products. But you might have a different conversion goal in mind. Maybe you want people to Like your Facebook page or sign up for your newsletter.

If your goal is to build an Instagram following, your call to action might be simply to ask visitors to follow your feed, or to share their photos with a branded hashtag.

Cool Instagram bio ideas

Still not sure where to start? Here are some cool Instagram bio ideas to model.

1. Funny Instagram bios

While it won't work for every brand, sometimes humor can be a great way to break the ice.

Old Spice uses humor that aligns with their well-known ad campaigns. "MUSCLES. SMELLS." Yup, that's Old Spice in a nutshell.

Totinos takes a different approach, using a funny character in their bio. (We'll admit we had to say "Pete Zaroll" out loud before we got the joke.)

Notice that neither of these funny Instagram bios says directly what the company does. You can only get away with this if you're a really well-known brand. But you can always play with humor in less extreme ways if that suits your brand personality.

2. Instagram bio quotes

Using Instagram bio quotes can be a great way to express an idea or create a feeling of connection.

You could use a saying, a line from a poem or song, or any phrase that will mean something to potential followers. Just make sure to give credit where credit is due if you use someone else's words.

The Quotations Page is a good place to start your search for good Instagram bio quotes.

Here are 15 quote ideas you can copy and paste directly into your Instagram bio.

  1. Happiness depends upon ourselves – Aristotle
  2. I'd rather regret the things I've done than regret the things I haven't done – Lucille Ball
  3. It is not enough that we do our best; sometimes we must do what's required – Winston Churchill
  4. The way to get started is to quit talking and begin doing – Walt Disney
  5. Imagination is more important than knowledge – Albert Einstein
  6. Energy and persistence conquer all things – Benjamin Franklin
  7. You miss 100% of the shots you don't take – Wayne Gretzky
  8. Cherish forever what makes you unique, cuz you're really a yawn if it goes – Bette Midler
  9. If you don't like the road you're walking, start paving another one – Dolly Parton
  10. The only impossible journey is the one you never begin – Tony Robbins
  11. Never let the fear of striking out keep you from playing the game – Babe Ruth
  12. Action is eloquence – William Shakespeare
  13. A man cannot be comfortable without his own approval – Mark Twain
  14. You can be the lead in your own life – Kerry Washington
  15. When the whole world is silent, even one voice becomes powerful – Malala Yousafzai

3. Creative Instagram bios

If you want to stand out from the crowd, and it makes sense for your brand personality, you can get creative with tricks like emojis and puns.

MeUndies uses a clever pun and a cheeky peach to highlight their brand promise, while Wendy's goes all-emoji to let you know that their Insta feed is all burgers, all the time.

We'll go into more detail on tricks you can use to make your Instagram bio stand out later in this post.

4. Cool Instagram bios

Some brands are all about playing it cool, and they extend that outlook to their Instagram bios.

CitizenM identifies itself as a misfit—a classic cool-kid move—while Ben & Jerry's riffs on a lyric from a 1979 Elvis Costello song.

5. Short Instagram bios

If you can sum up what you do and what your Instagram feed is all about in just a few words, there's no harm in doing so.

Instagram bios are not searchable, which means you don't need to include any keywords in your bio, and nothing you write in your bio will boost your profile in Instagram search results.

(To learn more about the parts of your profile that are searchable and learn how to make your Instagram account more discoverable, check out our post on how to get followers on Instagram.)

The Oatmeal and The Globe and Mail both take a factual approach to the short Instagram bio game. The Oatmeal takes a more casual tone. The Globe highlights its achievements in a few words that get straight to the point.

You can also use your mission or value statement or your tagline as a short Instagram bio. In this case, it's a good idea to add some secondary information like a hashtag, link, or or call to action.

Apple uses its short Instagram bio to encourage followers to share content (more on this below). Bumble sticks to its well-known tagline.

6. Clever Instagram bios

When creating a creative Instagram bio, make sure you strike the right balance. You want to be clever, but not too clever. You don't want to alienate potential followers by being over the top.

John Fluevog Shoes makes a clever play on words that's right in line with the brand's playful approach to footwear. Hulu draws attention with, well, a call to attention. It's a clever Instagram bio for a brand whose product offering is all about holding the rapt attention of its customers.

7. Instagram bios with emoji

Emojis convey a lot of information in just one character. They're a great way to highlight your brand personality and provide key details when creating a short bio for Instagram.

Emojis are also a great way to break your instagram bio up visually. They make a great substitute for bullet points.

Here are a couple of good instagram bios to model using this technique, from two wildly different sources. Alexandra Gater is a home decor YouTuber, while the NFL is, well, the NFL. If this technique can work for these two very different accounts, it can work for anyone.

You can also use emojis for emphasis, or just to add a bit of personality to your bio, like Victoria Emerson Designs does here.

Here are some common Instagram bio emojis for you to copy and paste:

  • 📍: Use in front of your physical location or address
  • 📩 : Use in front of your email address
  • 👇: Use in the last line of your bio to point to your clickable URL
  • 👉: To draw attention
  • ✈️: Commonly used by travel brands
  • 🎥 : To call attention to you YouTube channel
  • 🎉: To indicate an achievement or award
  • ✨: Also used to indicate an achievement, or just to show off your "sparkle"
  • Flags: Can be a great way to indicate your home base, or to highlight your local brand accounts in different languages or countries.

8. Instagram business bios

Great Instagram business bios tell potential followers exactly what your brand is all about so they know why they should follow and what to expect when they do.

All three of the Instagram business bios here also include a branded hashtag, which can be a good way to build a community for your brand on Instagram. We'll go into more detail on that aspect of Instagram business bios below.

Tricks to make a cool bio for Instagram

Now that you've got plenty of Instagram bio examples to model, let's look at some tricks to make your bio stand out.

9. Change your Instagram bio font

Technically, you can only use one "font" in your Instagram bio. But there are tools out there that will help you create the look of a custom font by mapping your text to existing special characters.

Here's what my own Instagram bio looks like in a few different fonts, as created using the tool Instagram Fonts.

Instagram bio fonts

Instagram bio fonts 2

Instagram bio fonts 3

That third one is a little bonkers, but you could pick and choose a few words to incorporate strategically for visual appeal. In general, it's a good idea to use this trick sparingly, for emphasis, rather than dressing your entire bio up in fancy fonts.

Once you find a font style you like, just copy-and-paste it into your Instagram bio.

10. Use Instagram bio symbols

We've already talked about using emojis. But you can also go old-school and use special text symbols to break ★ up ★ your ★ bio. (Remember Wingdings and Webdings? How very 1990s.)

This trick uses the same principle as the tip above, but instead of using symbols to create the look of a custom font, you can use them as retro emojis or unique bullet points:

Blogger unique bullet points

Source: @blogger on Instagram

The easiest way to find your special character is to open a new Google Doc, then click Insert and choose Special characters.

Insert special characters

Source: Google Docs

You can scroll through the available options, search by keyword, or even draw a shape to find a similar character. Then, just copy and paste into your Instagram bio.

11. Add a category

If you have a business profile on Instagram, you can choose a category for your business. This appears under your name and can help people see at a glance what you do.

Jackson Hole Ski Resort category

Source: @jacksonhole on Instagram

Using a category for your business can free up space in your Instagram bio, since you don't need to repeat this information. However, it only appears in the mobile view, so you can't assume everyone will see it.

For tricks 11 through 14, you need to edit your profile using the Instagram app, rather than your computer. From your profile page, click Edit Profile, then scroll down to Public Business Information.

Bonus: Unlock 25 inspiring social media bio templates to create your own in seconds and stand out from the crowd.

12. Add contact buttons

Business profiles can include contact buttons that allow people to phone you, email you, or get directions to your business directly from Instagram.

13. Add a call-to-action button

You can encourage people to take action straight from your Instagram bio with CTA buttons. These allow your followers to take direct actions like ordering food from your restaurant, or buying tickets for your event.

Hawksworth Restaurant Order Food button

Source: @hawksworthrest on Instagram

You'll find these options under Action Buttons when editing your business profile.

14. Add your location

When you add your address to your Instagram business profile, it also appears below your bio but does not use up any of your bio character count. This is another great way to free up space for more compelling bio information.

Ontario Travel Toronto location

Source: @ontariotravel on Instagram

You don't have to include your full address here if you don't want to. You can just include your city, if that's what you prefer.

15. Add a link in bio

You get one clickable link in your Instagram bio. Since you can't use clickable links in Instagram feed posts (unless you're using Instagram ads or Instagram Shopping), your bio link is valuable real estate.

You can change the URL as often as you like. You might want to link to your newest or most important content (like your latest blog post or video), a special campaign, or a landing page specifically for visitors coming from Instagram.

You can also use Instagram tools such as Linktree to set up a mobile landing page with multiple links, so you don't have to keep updating the link in your Instagram bio, which can lead to outdated "link in bio" statements on older posts.

We're now back into the territory of Instagram bio details that are available in both desktop and mobile view.

Rare Beauty URL

Source: @rarebeauty in Instagram

Wondering how to put a link in your Instagram bio? Just enter the link you want to use in the Website field in your profile.

16. Include hashtags

Hashtags in your Instagram bio are clickable links. Keep in mind, though, that Instagram bios do not appear in hashtag search results. Adding hashtags to your bio won't make it more discoverable.

That means you should not include hashtags unless they are directly related to your business, because each one represents an opportunity for potential followers to click away.

However, adding a branded hashtag to your bio is a great way to promote and collect user-generated content.

This is one of the best ways for businesses to use hashtags in their bio. When a user clicks on the hashtag, they will see all the content your fans and followers have posted, which creates excellent social proof for your business.

17. Add line breaks

People don't tend to read information online. Instead, they scan for bite-sized chunks of information.

Make that information easy to identify using line breaks.

Old Navy uses a combination of emojis and line breaks to create this cute Instagram bio:

Old Navy emojis and line breaks

Source: @oldnavy on Instagram

It's really easy to add line breaks using the Instagram web interface. Simply space your bio as you would like it to appear.

On mobile, your best bet is to create your bio with the spacing you want using a notes app. Then, copy and paste it into your Instagram bio field. Or, use one of the Instagram bio templates below.

Creative Templates For Instagram

Creative Templates For Instagram

Want your brand's Instagram Stories to look clean, polished and consistently stylish? Instagram Stories templates are the way to go.

The truth is, most of your favorite brands probably already use them. But really, it's no surprise they want to make their Stories look good: half a billion users interact with Instagram Stories daily, and 58% of people say their interest in a brand or product increased after seeing it in Stories.

If you're not using this Insta feature to put your best foot forward, you're going to miss out.

In this post, we'll show you how to use Instagram Stories templates to wow your audience and showcase your best content. We've also included a designer pack of 72 customizable templates that will boost the look of your Stories right away.

Why use Instagram Stories templates?

Though Stories may disappear after 24 hours, they're still going to reach plenty of eyeballs over that span of time, as we know from those impressive Instagram Stories stats.

Plus, now that you can turn Stories into "Highlights" on your Instagram profile, that temporary content actually has the potential for a much longer shelf life.

Might as well make it look nice, right?

But there are tons of other reasons to use Instagram Stories templates, too.

Look professional

Yes, Instagram Stories are primarily known for their charmingly unpolished execution (anyone else weirdly addicted to watching Go Clean Co. scrub grout?). But, as with all social networks, the level of professionalism that users expect from brands is steadily rising.

Brands often use Instagram Story templates to create a consistent aesthetic on their Stories: one that's connected to their larger visual identity or brand voice. The subtle (aesthetically pleasing) inclusions of branded fonts, colours and logos all help to build familiarity and trust with a brand.

Jewellery design studio Melanie Auld Jewelry uses templates to share editorial content on its Stories, like this profile of wellness and travel blogger Julianne Barbas. With shots laid out artfully and elegant text, it's almost like a digital magazine feature. Profesh!

Save time (and money)

Because most content on Stories disappears after 24 hours (unless you post them to your Highlights), it doesn't make sense to professionally design every single shot or video.

But if you know you're going to be regularly posting certain types of content, designing a template to accompany each one will save you time (and the cost of hiring a pro) in the future.

Pro tip: With Hootsuite's Instagram Story Scheduler, you can create, edit and schedule your Instagram Stories in advance.

Make non-visual content pop

Instagram is a visual platform where brands that invest in good photography excel. But not everyone on Instagram is selling something visually exciting like optical illusion makeup or horrifying '80s living rooms.

The Washington Post (whose TikTok, btw, is weirdly good too) gets people to swipe up on their news stories by using eye-catching animated text and simple illustrative graphics. Even though it's less flashy than glitter eyeshadow, it catches the eye in a Stories feed full of bright visuals.

Or, maybe you just need to post a Story that doesn't necessarily call for a photograph, such as an intro page for a slideshow of delicious treats, à la Minimalist Baker.

Stand out from the competition

This one's easy. Instagram Stories templates are a quick and simple way for your brand to distinguish itself as viewers are flipping through a sea of Stories.

A striking graphic design will (hopefully!) capture their attention and reinforce your brand's style in the process. It's also a way to show that you've put time and thought into your content.

Brit and Co.'s stories are instantly recognizable when they pop up in your feed: images and videos are always on a splashy backdrop that features brand-appropriate colors, shapes and textures. They're distinct from the standard look you get from crafting a Story directly in the Instagram app: definitely attention grabbing.
